GENERAL INFORMATION

Registration & Information Center
Registration will be held in the North Ballroom Foyer in the North Building of the Phoenix Convention Center during the following times:

Saturday, November 9 • 2:00 PM – 6:00 PM
Sunday, November 10 • 7:00 AM – 8:00 PM
Monday, November 11 • 7:00 AM – 5:00 PM
Tuesday, November 12 • 7:00 AM – 5:00 PM
Wednesday, November 13 • 7:00 AM – 12:00 PM

Certificates of Presentation and Attendance
Presenters can download certificates of presentation in the Annual Meeting Conference Harvester beginning Wednesday, November 13. Attendees who do not present during Entomology 2024 may request certificates of attendance at the Registration & Information Center or by emailing meet@entsoc.org.

Internet Access
Complimentary internet access is available in all guest rooms as well as public and meeting spaces at the Sheraton and Phoenix Convention Center. Password login is required at all facilities. Connect to the Wi-Fi network, open a browser, and enter the associated password.

Speaker Practice Room
Looking to practice your presentation in a quiet session room? Visit the Speaker Practice Room in 121 B to rehearse at a podium. Advance sign-ups are required and available online on a first-come, first-served basis. Sign-up for your preferred practice time. The practice room is open during the following hours:

Lactation Room
ESA is happy to provide a private and secure space for all nursing parents. ESA supports all nursing parents to nurse as needed in all general meeting spaces, and nursing in public is protected by Arizona law. The ESA dedicated Lactation Room is located in the North Ballroom Green Room, which is located near the east end of the Food Hall. Immediately past Tenders, Love & Chicken, find a set of double doors that lead into a service corridor; the entrance to the Green Room is the first door on the right. The room is equipped with a mini fridge for storage.

Relaxation Retreat
Take a break from the conference environment, improve your focus, reduce stress and anxiety, and relax.

Coat and Bag Check
Free coat and bag check can be found in the Exhibit Hall 6 Foyer of the Phoenix Convention Center during the following times:

Monday, November 11 • 7:00 AM – 8:00 PM
Tuesday, November 12 • 7:00 AM – 8:00 PM

Gender Neutral Restrooms
Gender neutral restrooms are located on both ends end of the Food Hall, on the first floor of the Phoenix Convention Center. Additionally, gender neutral restrooms are located on the 2nd floor of the Sheraton near the FedEx office, as well as on the 3rd floor near Cave Creek.

Parking
Parking is available at the Phoenix Convention Center North Garage (475 E. Monroe St Phoenix, AZ 85004) at a rate of $20 per day.

Concessions
Craving something tasty or just need a pick me up? Food, snacks, and coffee are available for purchase in the Food Hall in the center of the North Building and in the Exhibit Hall at lunch time on Monday and Tuesday afternoon.

Food Waste
ESA is working with Knead Technologies and Waste Not to reduce food waste during Entomology 2024. Leftover food will be collected and donated to local food kitchens, and food scraps will be composted for Phoenix city parks.

Presentation Preview Room
The Presentation Preview Room is in 121 A at the Phoenix Convention Center. Presenters are expected to upload their presentation the day before their scheduled talk. Operating hours are:

Poster Setup (Student and Regular Submitted)
Your poster must be placed in the assigned numbered space in the Exhibit Hall the morning your poster is scheduled (see “Poster Presentation Times” for additional information). Bring your own Velcro strips to secure your display to the poster board. The poster board is covered with felt cloth and the frame is aluminum. Please do not attach anything to the metal frame.

Poster Presentation Times (Student and Contributed)
Presenters of posters with odd and even numbers are assigned specific times to be present at their poster. Presenters are expected to be available at their displays during the "Authors Present" time slot for questions and discussion.

Monday, November 11 (Student Competition):
Setup: Monday • 8:00 AM – 9:00 AM
Viewing: Monday • 9:00 AM – 5:00 PM
Authors Present: Posters with odd numbers: 1:00 - 1:30 PM; Posters with even numbers: 1:30 - 2:00 PM PM
Takedown: Monday • 5:00 - 5:30 PM

Tuesday, November 12 (Contributed & Student Non-Competition Posters):
Setup: Tuesday • 8:00 AM – 9:00 AM
Viewing: Tuesday • 9:00 AM – 5:00 PM
Authors Present: Posters with odd numbers: 1:00 - 1:30 PM; Posters with even numbers: 1:30 - 2:00 PM
Takedown: Tuesday • 5:00 - 5:30 PM

Removal (Student and Contributed)
Posters should be removed promptly between 5:00 - 5:30 PM on Monday and Tuesday. Please do not remove your poster before the close of the scheduled viewing time. Do not remove poster numbers from boards. Any posters left in the hall will be disposed of Tuesday evening.

Each symposium has designated a specific time for poster presenters to be present at their posters. Presenters are expected to be available at their displays during the “Poster Session” time slot or during the Break for questions and discussion.

Removal (Symposia)
Posters should be removed promptly up to 30 minutes after the end of the session. Please do not remove your poster before the close of the scheduled viewing time. Do not remove poster numbers from boards. Any posters left on the boards will be disposed of.

EXHIBIT HALL

The Exhibit Hall, located in Exhibit Hall 6 on the lower level of the Phoenix Convention Center, will feature exhibitors, poster presentations, student club tables, Artisan Row, and the Juried Art Show. Our exhibitors have the latest entomological equipment, supplies, gifts, and reference materials. Be sure to stop by and support our exhibitors.
